Finalizing & Reporting
Review allocations, finalize the case, generate reports, and archive completed estates.
Reviewing the Allocation
Before finalizing a case, the Review tab provides a comprehensive summary of all allocation decisions. This is your opportunity to verify that every asset has been accounted for and that the distribution is correct.
The review shows:
- A summary of how many assets are assigned to each beneficiary.
- The total estimated value allocated to each beneficiary.
- Which assets are marked for liquidation.
- Whether any assets remain unassigned.
Take the time to read through the review carefully. Once you finalize, the allocation is permanent and no further changes can be made.
Ensuring All Assets Are Allocated
Finalization requires that every asset in the case has a decision — either assigned to a beneficiary or marked for Market (liquidation). If any assets are left unassigned, the finalize button will be unavailable.
If you have unassigned assets that you do not want to make individual decisions for, use the “Liquidate Unallocated” bulk action in the Distribution tab. This assigns all remaining items to Market in one step, after which you can finalize.
Warning: Double-check high-value unassigned items before using bulk liquidation. It is easy to accidentally liquidate an item that should have gone to a specific beneficiary.
Finalizing the Case
When you are ready, click “Finalize Allocation” in the Review tab. A confirmation dialog will appear explaining that this action is irreversible.
Finalization does the following:
- Sets the allocation status to finalized.
- Changes the case status from “active” to “settled.”
- Records the finalization date and the manager who authorized it.
- Locks all case data from further modification.
You will be asked to confirm that you understand the action is permanent. This safeguard exists because finalization is intended to be the legal record of the distribution decision.
What Happens After Finalization
Once finalized, the case enters a read-only state. You can still:
- View all assets, beneficiaries, rounds, and allocation decisions.
- Generate and download PDF reports.
- Access the case from your Dashboard.
You cannot:
- Add, edit, or remove assets.
- Create new voting rounds.
- Change allocation decisions.
- Invite or remove beneficiaries.
This permanence is by design. The finalized case serves as a defensible record of the distribution process, including the voting data that informed each decision.
Generating Reports
Allocate provides three types of PDF reports that you can generate from the Reports tab. Reports are created on demand and cached for quick re-download.
Round Asset Catalogs
A catalog report lists all assets that were included in a specific voting round, along with their images, descriptions, and valuations. This report is useful for:
- Sharing a visual inventory with stakeholders who do not have platform access.
- Creating a printed reference for in-person meetings.
- Documenting the assets that were presented to beneficiaries.
Analytics Reports
Analytics reports summarize the results of a closed voting round: participation rates, preference breakdowns, conflict levels, and suggested allocations. These reports provide a paper trail showing how beneficiary input was gathered and analyzed.
Final Allocation PDF
The final allocation report is the primary deliverable for most engagements. It includes:
- A distribution summary showing each beneficiary’s allocated assets and total value.
- Individual beneficiary sections listing every item assigned to them with images and descriptions.
- A liquidation section listing all items marked for Market.
- Case metadata including the finalization date, manager name, and case description.
This report is suitable for sharing with the court, beneficiaries, co-counsel, or anyone who needs a formal record of the distribution.
Note: Reports are generated using your brand styling — Aleo headings, Akzidenz-Grotesk body text, and the Midnight Green color palette. They are designed to look professional in both digital and printed formats.
Archiving a Case
After a case is settled and all reports have been generated, you can archive it to move it off your active Dashboard. Archiving is purely organizational — it does not delete any data.
Archived cases:
- No longer appear in your main case list (they move to an archived section).
- Remain fully accessible for viewing and report generation.
- Cannot be reactivated or modified.
To archive a case, use the archive option in the case settings. This is available for cases that have been settled (finalized) or for active cases that have rounds or allocation data you want to preserve.
Tip: If you have a case with no rounds and no allocation data, you can delete it outright instead of archiving. Deletion is a soft delete — the case is removed from your view but preserved in the system for safety.
