How to accept your invitation, view assets, and vote in simple and weighted rounds.
Accepting Your Invitation
When an estate manager includes you in a case, you will receive an invitation email with a link to join the platform. Click the link to accept your invitation and create your account.
The process is straightforward:
- Click the invitation link in your email.
- You will be taken to Allocate where you can set up your account.
- Once signed in, you will be directed to your rounds page.
You do not need to be on the platform before receiving an invitation. Your account is created as part of the invitation flow. If you already have an Allocate account from a previous case, the new case will appear automatically.
Tip: If you cannot find the invitation email, check your spam or junk folder. Contact the estate manager directly if you need the invitation resent.
Viewing Active Rounds
After signing in, your home page shows all active voting rounds you have been included in. Each round card displays:
- The round name (e.g., “Initial Preferences” or “Contested Items”).
- How many assets are in the round.
- Your progress — how many assets you have voted on out of the total.
- Whether you have submitted your final votes.
Rounds that are approaching their closing date may show an urgency indicator. Complete your voting before the round is closed by the manager.
Voting in a Simple Round
In a simple round, you express your preference for each asset by marking it as one of three options:
- None — You do not have a preference for this item. It will be treated as a pass.
- Want — You would like to receive this item.
- Really Want — You have a strong preference for this item.
The voting page shows all assets in the round. You can switch between list view (compact, efficient for large inventories) and grid view (card-based with larger thumbnails). Your view preference is saved for next time.
To vote, click the preference buttons next to each asset. You can also click on any asset to open a detail view with:
- Full-size photographs in a carousel.
- Complete description and metadata.
- Attached documents available for download.
- A notes field where you can add your own comments about the item.
Your votes are saved automatically as you make each selection. There is no “save” button to worry about — every change is recorded immediately.
Tip: Take your time reviewing the full asset details before voting. The photographs, description, and any attached appraisals provide important context for making your decisions.
Voting in a Weighted Round
In a weighted round, you are given a credit budget — a number of points you can distribute across the assets. The more credits you place on an item, the stronger your preference for receiving it.
The credit display at the top of the page shows:
- Available credits — How many you have left to spend.
- Allocated credits — How many you have placed on assets so far.
- Total budget — Your full credit allocation.
For each asset, use the credit input to set how many points you want to allocate. You can use the plus and minus buttons for small adjustments, or type a number directly.
As you allocate credits, the platform shows you a bidding indicator for each asset:
- Leading — Your bid is currently the highest among all participants.
- Outbid — Another participant has bid more credits. The difference is shown.
- Tied — Your bid matches another participant’s bid.
These indicators update in real time, so you can adjust your strategy as you see how the bidding unfolds.
Tip: You do not need to spend all of your credits. Unspent credits are simply unused — they do not carry over or have any other effect. Focus your budget on the items that matter most to you.
Submitting Your Votes
When you have finished reviewing and voting on all the assets, you can click “Submit” to indicate that you are done. Submission is an optional confirmation — it signals to the manager that you have completed your review.
If you have not voted on every asset, the platform will show a notice listing the items you skipped. Assets you did not vote on are treated as “no preference” (simple rounds) or “zero credits” (weighted rounds).
After submitting:
- Your votes are locked and cannot be changed for this round.
- The manager can see that you have completed your participation.
- You can still view the round and your voting choices, but cannot modify them.
If you realize you need to change a vote after submitting, contact the estate manager. They may choose to create a follow-up round if adjustments are needed.
Note: You do not need to submit to have your votes count. Even if you do not click submit, all of the individual votes you have made are saved and visible to the manager. Submitting simply marks you as “done.”
